ADMINISTRATIVE ASSISTANT IV
Performs advanced (senior-level) administrative support or technical program assistance work. Work involves coordinating the dissemination of information, developing filing systems, and coordinating internal administrative support work. May supervise the work of others. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.
EXAMPLES OF WORK PERFORMED
Coordinates the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents.
Coordinates general office duties such as ordering supplies, performing basic bookkeeping work, and assisting with general human resources work.
Coordinates meetings, conferences, and seminars.
Interprets and disseminates information concerning agency programs and procedures.
Develops and maintains filing, record-keeping, and records management systems.
Develops administrative and technical policies and procedures.
Responds to inquiries regarding technical program or administrative regulations, policies, and procedures.
Participates in the planning and execution of an agency program.
Compiles and edits data for charts, graphs, and databases, and prepares summaries or reports.
Assists in researching technical issues.
May provide assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.
May research, compose, design, or edit agency publications such as brochures, forms, manuals, and reports.
May develop and review training materials.
May manage and maintain schedules and travel arrangements for managers, directors, and executives.
May supervise the work of others.
Performs related work as assigned.
GENERAL QUALIFICATION GUIDELINES
Experience and Education
Experience in administrative support work. Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another.
Knowledge, Skills, and Abilities
Knowledge of office practices and administrative procedures.
Skill in the use of standard office equipment and software.
Ability to implement new administrative systems and procedures and to evaluate their effectiveness; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to supervise the work of others.
